Toronto Art Therapy for Kids respects your privacy. This notice explains how personal information submitted through this website is collected, used and shared.

This notice covers website inquiries only. It does not replace the privacy, consent or record-keeping information provided by an individual therapist when clinical services begin.

The information collected depends on the form you choose to use:

  • General contact form: your name, email address, reason for contacting us, message and consent.
  • Therapist matching form: caregiver name, email address, child age range, preferred location, general scheduling availability, therapist preference, an optional practical note and consent.
  • Therapist-specific inquiry forms: caregiver name, email address, child age range, general scheduling availability, an optional practical note and consent.

The website and its hosting, security, spam-prevention and performance services may also process basic technical information such as an IP address, browser or device information, submission time and pages requested.

How we use information

We use information submitted through the website to:

  • respond to your question or inquiry;
  • help identify a possible therapist match based on practical factors;
  • route a therapist-specific inquiry to the named therapist;
  • coordinate follow-up and maintain basic referral or correspondence records;
  • protect the website, prevent spam and troubleshoot technical problems; and
  • meet legal or professional obligations where applicable.

We do not sell personal information or use information from inquiry forms for advertising.

Who receives information

General inquiries and therapist-matching requests are received by Toronto Art Therapy for Kids. When you use a therapist-specific form, the information is shared with the named therapist and the collective so that the therapist can respond and the collective can assist with follow-up if necessary.

Information may also be processed by service providers that support the website, forms, hosting, email delivery, security or maintenance. These providers are expected to use the information only to provide their services. We may disclose information when required or permitted by law.

Forms, email and service providers

Website forms are processed through WordPress and WPForms and are delivered by email to the appropriate recipient or recipients. Email and website service providers may process or temporarily retain information as part of providing those services. Some service providers may process information outside Ontario or Canada, where it may be subject to the laws of another jurisdiction.

Please limit sensitive information

Our website forms are designed for brief, practical inquiries. Please do not include a child’s full name, detailed clinical history, diagnosis, health-card information or other highly sensitive information. If more information is needed, the therapist can discuss an appropriate and more private way to share it.

Children and caregivers

The website inquiry forms are intended to be completed by a parent, guardian, caregiver or adult client. Children should not submit personal information through these forms without the involvement of a parent, guardian or other appropriate adult.

Retention

We retain website inquiry information only for as long as reasonably necessary to respond, coordinate follow-up, maintain appropriate business records and meet legal or professional obligations. Information that is no longer required should be securely deleted or otherwise disposed of.

Security

We use reasonable administrative and technical safeguards appropriate to the sensitivity of the information. Access should be limited to people who need it to respond or provide follow-up. No website or email system can be guaranteed completely secure, which is another reason to avoid sending detailed or highly sensitive information through these forms.

Clinical records and independent practitioners

The therapists featured on this website are independent practitioners. Once you begin working with a therapist, that therapist is responsible for explaining their own privacy practices, consent process, clinical record-keeping, access procedures and professional obligations. Clinical records are not governed by this website-inquiry notice.

Access, correction and withdrawal

You may ask what website-inquiry information we hold about you, request access or correction, or withdraw consent for future use, subject to applicable legal or professional requirements. We may need to verify your identity before responding.

Cookies and website operation
